In short: Phone system CRM integration connects your business phone system to your CRM or helpdesk. Incoming calls pop the caller's record, users click a number to dial, and every call is logged against the right contact automatically. 3CX, Microsoft Teams Phone and Webex Calling all connect to common CRMs, natively or through connectors.
What CRM integration does
The aim is simple: less typing and better information. The features most organisations use are:
| Feature | What it does | Why it matters |
|---|---|---|
| Caller lookup and screen pop | Matches the caller's number to a CRM contact and shows their name and record as the call rings | Staff greet callers by name and see open tickets or deals first |
| Click to dial | Dials a number straight from the CRM or browser | Faster outbound calling with fewer misdials |
| Call logging (journaling) | Writes each call's date, time, direction, duration and agent to the contact's record | A complete history without manual notes |
| Contact creation | Creates a new CRM contact when an unknown number calls | No lost leads from new callers |
| Recording links | Attaches or links the call recording to the record | Quicker dispute handling and coaching |
| Reporting | Combines call data with CRM data | See calls per account, deal or ticket |
Not every integration offers every feature, so check the list for your CRM and your phone platform before you buy.
How the connection works
Most modern integrations use the CRM's REST API. When a call arrives, the phone system looks up the number in the CRM, displays the match, and after the call writes a log entry back. Users either work in the phone system's web or desktop app, which opens the CRM record, or in the CRM itself through a browser extension or embedded dialler.
Two practical details make a big difference:
- Number formats. Lookups fail when numbers are stored inconsistently. Storing numbers in full international format (for example starting +44) makes matching reliable.
- Authentication and permissions. The integration needs an account or API key in the CRM with permission to read contacts and write activities. Plan who owns that account and how it is secured.
Common CRMs and how each platform connects
How the platforms we supply typically connect:
| Platform | How it integrates | CRMs |
|---|---|---|
| Hosted 3CX | Native integrations in the PRO and AI editions, plus a template wizard for any CRM with a REST API | 3CX lists integrations for Salesforce, HubSpot, Microsoft Dynamics 365, Zoho, Freshdesk, Freshsales, Zendesk, Pipedrive, Bitrix24, Odoo, ConnectWise, Vtiger and others, some maintained by 3CX and some by the vendor or a third party |
| Microsoft Teams Phone | Dynamics 365 and Dynamics 365 Contact Center work with Teams; other CRMs connect through Teams apps or third-party connectors | Dynamics 365 natively; others depend on the connector |
| Webex Calling | Integrations through the Webex App and Webex contact centre products | Check Cisco's current integration list for your CRM |
| Contact centre platforms | Contact centre products often include their own CRM connectors and agent desktop | Varies by product; see cloud contact centre |
CRM vendors and phone platforms change their integrations regularly, so we confirm the current position for your CRM before recommending a platform.
3CX CRM integration
3CX is often chosen because of its CRM support. Its integrations look up callers by number or email, add matched contacts to 3CX with a link to open the CRM record, can create new contacts, and journal both calls and chats back to the CRM. CRM integration is not included in the 3CX Basic edition: you need PRO or AI.
If your CRM is not on 3CX's list, 3CX provides a CRM integration wizard that builds a template from the CRM's REST API documentation, which suits in-house or industry-specific systems. Read 3CX CRM integration for the detail and 3CX editions compared for what each edition includes.
Teams Phone and CRM
For organisations on Microsoft 365, the natural pairing is Teams Phone with Dynamics 365, where calls, contacts and service cases live in the same Microsoft environment. Dynamics 365 Contact Center goes further, adding routing, AI-generated summaries and live transcription, and Microsoft says it works with the CRM of your choice.
For other CRMs, many vendors publish a Teams app or a connector that adds caller lookup and click to dial, and some third-party contact centres certified for Teams bring their own CRM integrations. See contact centre for Microsoft Teams for those options, and 3CX vs Teams if CRM depth is the deciding factor.
Planning checklist
- List your systems. CRM, helpdesk, ticketing and any line-of-business system that holds customer numbers.
- Decide what you need. Screen pop, click to dial, logging, contact creation, recording links, or all of them.
- Clean the data. Standardise phone number formats and remove duplicates before go-live.
- Check editions and licences. Some integrations need a particular phone system edition or CRM licence.
- Agree where users work. In the phone app, in the CRM, or both, and on which devices.
- Test with real calls. Check matching, logging and recording links with a pilot group before rolling out.
How we help
We start from your CRM and work back to the phone platform that integrates most fully with it, then configure and test the connection with your team. If you are also reviewing call handling, we can design queues and reporting at the same time; see call centre phone systems.

Contact usFrequently asked questions
What is phone system CRM integration?
It is a connection between your business phone system and your CRM or helpdesk. It shows the caller's record when a call arrives, lets users dial from the CRM, and logs calls against the right contact automatically.
What is a screen pop?
A screen pop is the caller's CRM record, or a summary of it, appearing on the user's screen as the call rings. It works by matching the caller's number to a contact in the CRM.
Which phone systems integrate with Salesforce and HubSpot?
3CX lists integrations for both, available in its PRO and AI editions (CRM integration is not in Basic). Many other platforms connect through apps or connectors published by the CRM vendor or a third party, so check the current integration for the platform you are considering.
Does Microsoft Teams integrate with CRM systems?
Yes. Teams works closely with Dynamics 365, and Dynamics 365 Contact Center adds contact centre routing. Other CRMs usually connect through a Teams app or third-party connector that adds caller lookup and click to dial.
Can I integrate a CRM that is not on the standard list?
Often, yes. 3CX provides a wizard that builds an integration template from any CRM with a REST API, and other platforms offer APIs for custom integrations. It needs some technical work, which we can scope with you.
